STUDIO POLICY 2025-2026

THE Following information is for enrolled students / parents / guardians


PLEASE READ CAREFULLY. UNDERSTANDING AND ABIDING TO THE FOLLOWING POLICIES WILL HELP ENSURE A FUN, AND POSITIVE LEARNING EXPERIENCE WHICH ALLOWS FOR SMOOTH BUSINESS OPERATIONS. YOUR RESPECT AND UNDERSTANDING TOWARDS THESE COMMON POLICIES FOUND IN MANY MUSIC SCHOOLS IS GREATLY APPRECIATED.

CHAPLEAU PIANO ACADEMY SEMESTERS

FALL SEMESTER 2025
Begins: September 7, 8, 11, 12
Ends: December 14, 15, 16, 17

WINTER / SPRING 2026 Begins: January 4, 5, 6, 7 Ends: June: 21, 22, 23, 24
*During the Fall/Winter/Spring Semesters your full invoiced tuition payments is required in order to reserve your enrolment at the Academy. Extended leaves for whatever reasoning without payments will result in loosing your reservation at the Chapleau Piano Academy.

SUMMER SEMESTERS - JULY AND AUGUST (OPTIONAL TERM)
-Flex billing is available during the months of July and August ONLY - enrolled students can choose to take the summer semester off, book by appointment or continue full-time. Students will be invoiced accordingly - this accommodation is only available during the months of July and August.

-International students will be required to follow the Canadian Academic schedule for our semesters - However, your spring breaks and stat holidays will be considered in your area.

-In order for students to keep their current occupied time slot during the Summer Semester you will be required to book minimum one lesson per summer month. You may choose to pay the lesson fee to reserve your current occupied time slot without having to attend the lesson. Otherwise, you will forfeit your booked lesson time/length and be contacted in late August to re-register for the Fall semester with very limited time slots remaining. Please be aware that there is a very high possibly that there may not be a time slot available that fits the students personal schedule which can force a student to drop-out of the Academy. Time slot availability decreases due to lesson extension requests and new incoming students. Over 95% of Chapleau Piano Academy students continue lessons to some capacity in the summer. It is highly recommended that students do not take the entire summer off. Music lessons are not a seasonal activity.

TUITION FEES: Piano tuition is due in its full invoiced amount on the first provided lesson of every given month. Invoices are sent to the registered email address one week prior to due date. YOUR PLANNED ATTENDANCE DOES NOT CHANGE THE BILLED AMOUNT. Your monthly tuition is carefully calculated to meet the financial budget required to keep this business operational. Tuition fees are non-negotiable. Stat-holidays / spring beak are taken into account. If tuition fees will be raised due to sudden increases in operational costs, students will be notified one month ahead of time before any changes are taken into effect. 

PAYMENT OPTIONS:
It is recommended that you send tuition payments in upon receiving the invoice. I will use the students’ lesson time to send reminders and wait for payments to be received. PLEASE TRY YOUR BEST AND AVOID BEING LATE OR FORGETFUL WITH YOUR PIANO TUITION PAYMENTS! 
- E-transfers (preferred)
- International online students: PayPal
- Cash accepted but please have the exact amount
- NO CHEQUES PLEASE.

RESCHEDULING POLICY: Similar to all other extra-curricular activities, attending the scheduled lessons at a weekly regular time slot is the students’ responsibility. No matter the reason, rescheduling options are NOT available. If you miss your lesson it will be at your expense. This is due to high business cost, high student enrolment and no additional availability. Online lesson services are available to all students to aid with convenience with very short notice. The following options are available to the student if they want to make-up for their lost time: 

1. Come to our studio to practice on our digital pianos during business hours. 

2. Asynchronous lesson: Send in recordings / questions that can be reviewed and answered during your missed lesson time.

3. Attend a once monthly 1-hour group performance class. (Included in your tuition - available to virtual and in-person students)

4. Gift your lesson to another student enrolled at the academy. (Please communicate this request with your teacher)

5. Proceed with your lesson on an online platform of your choice. (FaceTime, Skype ect…) This service is available under very short notice to give you the best chance at not missing your weekly piano lesson slot.

ATTENDANCE: Your regular weekly lesson time slot is reserved exclusively for you. Good attendance is expected. It is the students responsibility to remember their lesson - a student must be on time. Your teacher will not make-up any lesson time or change lesson rate due to student tardiness.  

ANY TYPE OF CONTAGIOUS ILLNESSES: Your in-person lesson can easily be converted to an online platform of your choice within minutes of notification. PLEASE DO NOT COME TO THE STUDIO IF YOU ARE SICK. We want to keep everyone, including your piano teacher healthy. Spread the love of music, not your germs! 

MATERIALS REQUIRED: Students will need to purchase their own binders to keep all provided lesson materials organized. Please bring your own water bottles to stay hydrated. Our space is not equipped with a public water fountain. Please try and not forget your piano binders - lesson time may be wasted due to re-photocopying materials. Be organized and prepared! 

PRACTICE REGULARLY: Students are expected to practice the piano on a daily basis outside of their lesson time.This allows for lessons to be used productively. Your lesson time should not be the only time you touch a piano! Progress is only achieved through hard work, consistent practice and dedication. 

STUDENTS MUST HAVE ACCESS TO A PIANO: It is essential that you consider purchasing a personal instrument within the first few months of lessons. Access to a piano is an essential learning tool. A full size 88-key piano with a damper pedal is highly recommended. If you need instrument-purchasing advice do not hesitate to ask your teacher. If you do not have an instrument, it is recommended that you come to the studio and utilize our digital pianos to practice during open business hours. (Business hours are posted in the studio and not advertised publicly on purpose to avoid random drop-ins from the general public. Enrolled students are welcome at any time. ) 

TEACHING SCHEDULE: It is important that when a student books their regular weekly lesson time slot that they choose very carefully and think about all their seasonal activities.  Once a student reserves their weekly time slot upon registration it will not be reconfigured to fit their personal schedules. All student lessons are booked tightly and there will most likely not be any other time slot options available during the Fall / Winter / Spring Term. You may submit a request for a new lesson time slot or lesson time extension during the summer semester. Changes will be granted IF there is availability.  

HANDS READY TO PLAY: Finger nails should be kept short to ensure proper playing techniques. Please avoid long acrylic nails. Imagine playing sports with high-heels…it’s the same for long nails, it is not ideal for proper piano playing technique and may result in injuries.  
LESSON DISRUPTIONS BY THE TEACHER: Lesson cancellations caused by your teacher will be taken into account when invoicing a student or reimbursed in the form of a credit in the following month. 

STUDENT TERMINATION:
If a student chooses to dropout midway through a month for whatever reason there will be NO refund. Please notify your teacher ASAP if you wish to terminate your enrolment. No justifications required. 

PARENTAL | GUARDIAN INVOLVEMENT: Parents or guardians may attend the lessons or not. Help your child keep up to their practice routine at home. Supervision is not always required during in-home practicing but a gentle reminder for them to practice their weekly assignments daily is necessary in order to progress. The biggest indicator of enjoyment is the feeling of growth and achievement that can be attained with dedicated practice, support and encouragement. If you have any questions about practice assignments or lessons in general do not hesitate to contact your teacher.

YOU OR YOUR CHILD MAY BE FEATURED THROUGH SOCIAL MEDIA MEDIUMS AS PART OF OUR CONCERTS, STUDIO PRODUCTIONS OR BUSINESS ADVERTISEMENT.

IF YOU ARE AGAINST THIS PLEASE NOTIFY THE CHAPLEAU PIANO ACADEMY IMMEDIATELY OTHERWISE YOU ACCEPT THE STATMENT DESCRIBED ABOVE.


CODE OF CONDUCT:
The Chapleau Piano Academy is a friendly, safe and accepting learning space. Any type of harassment, bullying, cyber-bullying, racist or any negative remarks directed towards students and staff can result in a suspension or immediate termination. Pushing the boundaries of these common policies of this contract will result in a permanent termination. 

Purposeful damages/vandalism to our space/equipment/instruments will result in an immediate termination.
